Challenges faced

  • Manual processes. The procurement team was struggling to track all the purchases using spreadsheets and emails. It was time-consuming and tedious.

  • Visibility on purchases. The managers had no visibility into what purchases were made and by whom. They had to sift through multiple email threads and spreadsheets to find this information.

  • Lack of standardization. The procurement team had to shuffle between multiple systems to obtain information on the orders and their statuses. They lacked control over their spend and were unaware of the budget availability.

Solution

Numa was trying to expand and open offices across Europe. As a tech-based company, Numa was interested in using technology to scale, not by hiring more people. Using emails and spreadsheets for purchasing was not sustainable in the long run. And if they had to deal with employee exits, then it was easy to lose track of the conversation specific to the account.

Numa also ordered directly from the supplier's platform. They had little to no discounts on the platform, and it was difficult to track what was being consumed. They wanted to adopt a digital procurement platform that would help them streamline all this.

Kissflow Procurement Cloud automated the source-to-pay process of Numa. By doing this, they were able to consolidate purchasing which was a multiple-system game into one, unified platform. Suddenly, there was a process to how things were purchased in Numa. We developed dynamic approval flows for the brand depending on its needs and were able to reduce the time it takes from requisition to payment. With the budget module in place, there was also clear visibility into the spend at all times.

Using Kissflow Procurement Cloud, Numa's suppliers were onboarded against the contract. The supplier portal provided easy access to their profiles and allowed them to update them with the necessary information to assist in the supplier prequalification process. As a result of flexible forms, RFIs and RFPs were captured in advance against the supplier record, speeding up the documentation process.

Numa could track, maintain, troubleshoot, onboard, and deboard suppliers all from one place using Kissflow's centralized procurement system. By using the supplier scorecard feature, Numa was able to track suppliers' performance, conduct surveys, and provide feedback to the suppliers. The performance scores of these scorecards are linked to the supplier master data in Kissflow Procurement. The data helps the travel-tech brand evaluate suppliers and optimize its supplier base.

Results

With the source-to-pay process automated in Numa, employees spend time less time on procurement tasks and are focusing on more strategic initiatives like negotiating with suppliers. Some of the key benefits they were able to see immediately were: increased visibility into their spend, improved financial planning, and less chaos in the AP & Finance teams.

By analyzing spend data, internal stakeholders can have fact-based conversations and achieve a greater return on investments through a more strategic lens. The ability to see exactly what is being spent by category allows managers to budget better and analyze financial information.
