Challenges faced

Manual processes. Mindtickle handled its purchases with a manual procurement process. It was extremely tedious and hard to track.

Visibility on purchases. Mindtickle used email or Slack to manage procurement requests. If the procurement manager wanted to understand what was purchased, from where, and who approved it, he/she had to go back to their email or Slack to filter through the messages. This was time-consuming and caused approval delays.

Lack of standardization. There were several steps in a procurement process with multiple teams involved, but the information was scattered, and there was no centralized system to track everything.
Solution
Mindtickle wanted to improve visibility into its procurement process and gain control of its expenses. Being a hypergrowth company, the business required a lot of customized workflows to cater to the brand's needs. They were on the lookout for a flexible platform that would enable them to realize their version of becoming a global brand. In short, they wanted to detangle their complex process, simplify it, and streamline their purchasing operations.
Kissflow Procurement Cloud streamlined Mindtickle’s implementation process by centralizing all its activities in one hub. Custom workflows were established to meet their specific needs, ensuring the procurement manager evaluated requisitions before initiating RFPs. To expedite the supplier selection process, shortlisted vendors could now send their demos directly to requisitioners. Vendor quotations, negotiations, and compliance checks were meticulously reviewed and approved by the legal and infosec teams. Purchase orders followed a structured approval process, with the purchase head overseeing standard limits and the CTO managing higher amounts. Requisitioners conduct general verifications of purchases. The finance team then processes payments for goods and services upon receipt of properly approved invoices.
On top of this system, Mindtickle wanted to keep track of the additional licenses that they purchased. Usually, what happens is that after the initial purchase of a license, Mindtickle keeps adding more licenses. These additional licenses were going unnoticed because of a lack of a system. Kissflow Procurement Cloud offered them complete visibility into their licensing as well.
By streamlining its overall procure-pay process, Mindtickle was able to bring complete transparency into its purchases.
Results
Thanks to procurement automation, Mindtickle was able to significantly reduce its PO processing time and declutter procurement. By accelerating the PO process, the company experienced an increase in the business bottom line and improved efficiency. Through digitization, there was complete visibility into their procurement process, which improved accountability. Delays in the approval process were a thing of the past as they were handled on the go with Kissflow's cloud-based procurement system.
