Visibility on purchases. With multiple distribution center warehouses spread across the US, purchases were literally happening from all sides. CarParts was unaware of who made these purchases and what was being purchased.

High volume of requests. The huge influx of purchases and the complexity of the processes led to delays in approval and burnout of the Account Payables team.
Solution
CarParts wanted to automate procurement and bring its seamless factory-to-consumer online shopping experience to its internal procurement process. They wanted to gain control over their spend and implement a comprehensive supplier onboarding module complete with contract management. Further, CarParts wanted to reap cost benefits and simplify their buying experience by integrating with Amazon and Staples.
Kissflow Procurement Cloud automated procure-pay, supplier onboarding, and contract management processes at CarParts. To accelerate efficiency and ease the pressure on AP, dynamic approval flows were implemented. Requisitions were auto-approved upon a successful three-way match based on the item and budget. The invoices were basically touchless as long as they satisfied the company policies and predefined tolerance levels. Invoices that didn't satisfy both conditions were manually approved by the Purchasing Manager.
This significant change empowered the team at CarParts to have more control over their spend. On the supplier front, vendors were onboarded onto the platform, which enabled them to manage their catalogs themselves. Every time a supplier was onboarded, RFQ, RFI, and RFP were captured against each of them along with the contracts. The supplier portal also had access to supplier scorecard functionality that made it easier to evaluate suppliers based on timely delivery, product quality, and other KPIs.
To offer a seamless buying experience, Kissflow Procurement Cloud implemented Amazon and Staples punch out in CarParts. Approved users can now purchase on behalf of CarParts directly on Amazon and Staples. The process is simple. Users just have to add products to the cart and submit them for approval. Orders were then relayed to the procurement system for authentication and verification before they were shipped. Default parameters like shipping method, payment type, cost, and shipping tolerance are defined when the organization adds the punch-out option. For every order, a PO is created for tracking and is displayed on the shipping label and in the order history report. Punch-out users and administrators can also check the order status by logging onto the website. With this functionality, buyers at CarParts gained easy access to a wide selection of products, improved their cost savings by 22-25 percent, and were able to drive compliance with eInvoice reconciliation.
Results
Kissflow Procurement Cloud (KPC) paved the way for a simplified purchasing process at CarParts with automation and eased the pressure on the AP team. With a dedicated approval mapping strategy, they were able to gain control and visibility into their spend like never before. The successful integration with Amazon and Staples enabled them to save 22-25 percent on their spend consistently. Rogue purchases were also taken under complete control with better compliance and agility. KPC offered real-time insights into business spending and empowered the organization to make better budgeting decisions, helping them discover more cost-saving opportunities.
